Office Administration:
- Manage and maintain office supplies, ensuring that inventory is stocked and orders are placed when necessary.
- Organize and maintain office files, both physical and electronic, ensuring documents are easily accessible and up-to-date.
- Answer phone calls, respond to emails, and handle general inquiries in a professional and courteous manner.
Scheduling & Calendar Management:
- Assist with scheduling meetings, appointments, and travel arrangements for executives or team members.
- Coordinate and manage internal and external meetings, including setting up conference rooms, preparing materials, and handling logistics.
- Maintain and update office calendars to ensure deadlines and appointments are met.
Document Preparation & Reporting:
- Draft, format, and proofread correspondence, reports, presentations, and other documents.
- Assist with preparing and organizing reports, presentations, and other business materials for meetings or conferences.
- Maintain office records, track project deadlines, and prepare progress updates for management.
- Data Entry & Database Management:
- Input and update data into various software systems or databases, ensuring accuracy and completeness.
- Maintain records of customer or vendor information, contracts, and other important business documents.
Customer & Vendor Relations:
- Communicate with clients, customers, or vendors, assisting with inquiries, processing orders, and providing general support.
- Coordinate deliveries, shipments, and meetings with vendors as needed.
General Office Support:
- Ensure office equipment (e.g., printers, fax machines, computers) is in working order and report any issues.
- Help with organizing office events or company meetings, including catering, room setup, and guest coordination.
- Perform other administrative tasks as needed to support the smooth operation of the office.
