Description

Key Responsibilities:

  • Handle the submission, follow-up, and approval of permits and licenses from government offices and agencies.
  • Build and maintain strong relationships with local government units and agencies to ensure permits are processed smoothly and efficiently.
  • Keep track of application timelines and ensure all permits are obtained on time for the start of projects.
  • Prepare, organize, and file all required documents for permit applications.
  • Ensure all permits and licenses comply with local regulations and company standards.
  • Provide administrative support to the administrative team or department, including managing calendars, scheduling appointments and meetings, coordinating travel arrangements, and preparing documents and reports
  • Maintain and organize records, documents, and files, including scanning, filing, and retrieving documents as needed
  • Draft and edit correspondence, emails, memos, and other communications on behalf of the administrative team
  • Assist with managing office supplies, equipment, facilities, and services, including procurement, inventory management, and maintenance coordination
  • Assist with coordinating and organizing meetings, events, and conferences, including scheduling, preparing agendas, coordinating logistics, and taking meeting minutes
  • Assist with data entry, data management, and report generation, using appropriate software and tools
  • Maintain and update physical and electronic filing systems, ensuring documents are properly filed, archived, and retrieved in a timely manner
  • Provide general administrative support, such as photocopying, scanning, faxing, and mailing, as needed
  • Assist with special projects and initiatives, as assigned by the team or department


Qualifications:

  • Graduate of Office Administration or any related course
  • With at least 2-3yrs. of experience
  • Willing to work onsite in Ortigas, Pasig City (Monday-Friday)
  • Preferably with experience working in Card Manufacturing, Security Printing and Data Personalization Industry
  • Knowledgeable in bidding documentation
  • Proven experience in handling permits, licenses, or similar administrative tasks.
  • Knowledge of government processes and requirements for securing permits.
  • Strong communication skills and ability to build relationships with government officials.
  • Excellent organizational skills with attention to detail and deadlines.
