Key Responsibilities:

Asset Inspection and Evaluation: 

  • Conduct regular inspections of company assets (e.g., vehicles, machinery, equipment, and office facilities) to ensure they are in good working condition. 
  • Identify any issues or defects and recommend corrective actions or preventive measures. 
  • Keep detailed records of asset conditions, maintenance history, and required repairs. 


Preventive Maintenance: 

  • Develop and implement a preventive maintenance schedule for all assets based on manufacturer guidelines and company needs. 
  • Ensure that maintenance tasks are completed on time and that assets are serviced regularly to extend their lifespan and maintain operational efficiency. 
  • Coordinate with internal teams or external contractors to perform routine maintenance tasks, such as oil changes, part replacements, or system checks. 


Repair and Troubleshooting: 

  • Respond promptly to asset malfunctions or breakdowns, troubleshooting and diagnosing issues to determine the necessary repairs. 
  • Manage repair requests and oversee the work of maintenance teams or external contractors to ensure that repairs are completed efficiently and correctly. 
  • Ensure that all repairs are documented and the records are updated in the asset management system. 


Compliance and Safety: 

  • Ensure that all maintenance and repairs are performed in compliance with safety regulations, industry standards, and company policies. 
  • Conduct safety audits of assets to ensure they meet health and safety standards. 
  • Stay informed about regulatory changes and industry best practices to maintain asset compliance. 


Inventory Management: 

  • Track and manage inventory of spare parts and maintenance supplies needed for the upkeep of company assets. 
  • Ensure that all required parts and tools are available to minimize downtime during asset repairs or servicing. 
  • Maintain accurate records of asset inventory levels, usage, and restocking needs. 


Asset Documentation and Reporting: 

  • Maintain a comprehensive asset maintenance log that includes details of inspections, repairs, and service history. 
  • Generate regular maintenance reports for senior management, outlining asset performance, maintenance costs, and any issues that need attention. 
  • Track asset warranties and service contracts to ensure timely renewals and compliance. 


Collaboration with Other Departments: 

  • Work closely with the finance department to manage the budget for asset maintenance and ensure cost-effective practices. 
  • Collaborate with operations and logistics teams to ensure that asset downtime is minimized and that maintenance schedules align with operational needs. 
  • Assist in the asset lifecycle planning process by providing recommendations on asset replacement or upgrades based on maintenance history and performance. 


Vendor and Contractor Management: 

  • Coordinate with external maintenance service providers and vendors to perform specialized repairs or servicing that cannot be handled in-house. 
  • Manage contracts with maintenance service providers and ensure that the company receives quality service at competitive rates. 
  • Evaluate vendor performance and ensure timely and effective completion of work. 


Additional Responsibilities: 

  • Other duties as assigned to support the ongoing asset management and maintenance efforts, including assisting with ad hoc tasks or supporting other departments in related activities as needed. 


Key Requirements:

  • Educational Requirement: Bachelors degree in Engineering, Business Administration, Facilities Management, or a related field. Certifications in maintenance management or asset management are a plus. 
  • Experience: At least 3 years of experience in asset management, facilities management, or maintenance roles. 
  • Skills: 
  • Strong knowledge of asset maintenance processes and equipment management. 
  • Excellent problem-solving and troubleshooting abilities. 
  • Good organizational skills with the ability to track and manage multiple assets and maintenance schedules. 
  • Familiarity with safety regulations and compliance standards in asset maintenance. 
  • Ability to manage vendor relationships and negotiate contracts. 
  • Technical Skills: 
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint). 
  • Experience with asset management software or computerized maintenance management systems (CMMS). 
  • Knowledge of maintenance best practices and preventive maintenance techniques. 

Job Competencies:

  • High attention to detail, with the ability to monitor and maintain assets across various departments. 
  • Strong decision-making skills, particularly in emergency or breakdown situations. 
  • Ability to work well both independently and as part of a team. 
  • Excellent communication skills, particularly for reporting asset conditions and collaborating with various stakeholders. 
  • Proactive and flexible, with the ability to adapt to changing business and asset maintenance needs. 

Working Conditions:

  • Full-time position, primarily in an office or operational environment with frequent site visits for asset inspections or repairs. 
  • Occasional travel may be required to visit various asset locations or vendors. 
  • Some irregular working hours may be required depending on the asset's maintenance schedule or emergency repairs.
