Description
The Sales and Marketing Assistant / Coordinator provides comprehensive support to the Sales and Marketing Department by coordinating daily operations, assisting in sales order processing, and supporting marketing activities.
- Receive, verify, and process Purchase Orders (POs) from the Sales Team or clients.
- Coordinate with the Logistics, Accounting, and Inventory departments to ensure accurate booking, delivery, and invoicing of orders.
- Maintain and update sales tracking reports, customer databases, and order logs.
- Monitor inventory levels of finished goods and marketing materials to ensure product availability.
- Provide regular updates to the Sales Team on order status, backorders, and delivery schedules.
- Assist in the planning, preparation, and execution of marketing activities, events, and campaigns (e.g., medical conventions, product launches, booth exhibits, round table discussions).
- Coordinate the printing, distribution, and safekeeping of promotional materials, samples, giveaways, and other marketing collaterals.
- Support the Product Manager in collecting and organizing post-activity reports, photos, and documentation.
- Assist in monitoring marketing expenses and activity budgets.
- Prepare and organize sales reports, performance trackers, and presentations for management.
- Maintain updated records of doctors, hospitals, and accounts as provided by the Sales Team.
- Handle other administrative tasks that may be assigned by the Product Manager or management.
- Serve as the liaison between the Head Office and the Field Force Team for sales documents, sample requests, and activity updates.
- Coordinate with suppliers and printers for production and delivery of marketing materials.
- Ensure proper documentation and filing of all marketing and sales-related documents.
Requirements
- Bachelors Degree in Marketing, Business Administration, Office Management, Communication, or any related field.
- Preferably with 12 years of experience in a similar role within a pharmaceutical or healthcare company.
- Fresh graduates with strong organizational skills and initiative are also welcome to apply.
- Excellent organization, coordination, and time management skills.
- Strong attention to detail and accuracy in documentation.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and familiar with basic sales tracking systems.
- Good communication and interpersonal skills; able to coordinate effectively with multiple departments.
- Able to work under minimal supervision and manage multiple priorities.
- Highly dependable, trustworthy, and maintains confidentiality of company information.
