EXECUTIVE ASSISTANT TO THE CHAIRMAN

Key Responsibilities

• Complex Calendar Management: Proactively managing and prioritizing a high-volume, ever-changing calendar across multiple time zones, including scheduling internal and external meetings, appointments, and personal commitments.
• Communication & Gatekeeping: Acting as the primary point of contact and liaison for the Board of Directors. Screening and routing calls and emails, and drafting professional correspondence on behalf of the executive.
• Travel Coordination: Arranging complex domestic and international travel logistics, including flights, accommodations, ground transportation, and creating detailed itineraries.
• Meeting Preparation & Follow-up: Organizing and coordinating executive and board meetings, preparing agendas and briefing materials, taking detailed minutes, and tracking action items to ensure timely completion.
• Financial & Administrative Support: Processing expense reports, managing invoices, reconciling corporate credit cards, and assisting with light budget tracking.
• Project Support: Assisting with special projects, conducting research, compiling data, and creating professional reports and presentations (PowerPoint/Google Slides) to support strategic decision-making.
• Confidentiality: Maintaining strict discretion in handling all sensitive company and personal information.
