Admin Assistant, Cavite

I.  POSITION BRIEF

An Administrative Officer will act as the point of contact for all tenants and employees, providing administrative support and managing office inventories, preparing regular reports and organizing company records. He/She ensures administrative activities are smoothly on a daily and long-term basis.

II. DUTIES AND RESPONSIBILITIES

2.1       Proactively provide administrative support to tenants and building management office

2.2       Liaise with and give appropriate information to tenants as and when required

2.3    Assist the Building Management Head in preparing reports on expenses and office budgets

2.4       Maintain and update company database

2.5       Organize a filing system for important and confidential company documents

2.6       Answer queries by employees and tenants

2.7       Maintain BMO calendar and schedule appointments

2.8       Distribute and store correspondence (e.g. letters, emails, memo)

2.9       Perform other related duties as required

III. MINIMUM REQUIREMENTS

a. Education

• At Least Bachelors/College Degree in any field

b. Work Experience

• Proven experience working in an office environment

c. Special Qualities/Skills Required

• Knowledge of office equipment and office management tools
• Must have the ability to communicate accurately and clearly both orally and in writing
• Demonstrate excellent customer service skills
• Proficient in MS Office (Word, Excel, PowerPoint, etc.)
• Must have good organizational skills and accuracy, with the ability to multitask
• Excellent time management skills and the ability to prioritize work
