Description
1. General Administration
  • Oversee and coordinate daily administrative operations to ensure smooth business processes.
  • Serve as the central point of contact for branch administrative concerns.
  • Maintain updated records of administrative policies, forms, and templates.
  • Assist in the preparation and monitoring of the departments budget.
2. Procurement & Supplies Management
  • Manage end-to-end procurement process for office, pantry, warehouse, and operational supplies.
  • Source, evaluate, and negotiate with suppliers to ensure cost-effective and quality purchases.
  • Maintain and monitor inventory levels to avoid shortages or overstocking.
  • Ensure timely replenishment and proper distribution of supplies across branches.
3. Asset Management
  • Maintain an updated company asset registry for all locations (office equipment, furniture, IT hardware, etc.).
  • Oversee tagging, monitoring, repair, and disposal of company assets in coordination with relevant departments.
  • Conduct periodic physical asset inventory to ensure accountability.
4. Housekeeping Oversight
  • Supervise housekeeping personnel (in-house or outsourced) to ensure cleanliness, orderliness, and sanitation in all facilities.
  • Coordinate with vendors for deep cleaning, pest control, and other specialized cleaning services.
5. Office Administration Support
  • Manage office supplies requests, courier/logistics coordination for documents, and petty cash handling.
  • Organize and maintain company files, records, and archives.
  • Support company events, meetings, and employee engagement activities from an admin perspective.
6. Internal Audit (Admin-related)
  • Conduct periodic checks on procurement compliance, asset usage, and housekeeping standards.
  • Prepare audit reports and recommend corrective actions for admin-related gaps.
  • Bachelors degree in Business Administration, Office Management, or related field.
  • At least 3 years of experience in administration, procurement, or asset management.
  • Strong organizational skills and attention to detail.
  • Knowledge of vendor management, inventory systems, and internal audit processes.
  • Proficient in MS Office applications; experience with ERP systems is an advantage.
