Logistic Specialist, Las Pinas

Key Responsibilities:

Order Management

• Process, monitor, and track customer orders while ensuring accuracy and timely fulfillment
• Release Sales Orders for shipping once products are available and ready for dispatch
• Coordinate daily e-commerce order fulfillment across platforms such as Shopee, Lazada, TikTok Shop, and other sales channels
• Monitor outgoing shipments using carrier portals, courier systems, or internal tracking tools
• Update tracking details, delivery statuses, and order records in company systems or spreadsheets
• Coordinate with warehouse and fulfillment teams to ensure proper packing, dispatching, and delivery of orders

Inventory Control

• Monitor stock levels and maintain accurate inventory records across warehouses and selling platforms
• Coordinate with suppliers and purchasing teams regarding replenishment requirements and stock movement
• Perform weekly reviews of all open shipments to ensure deliveries are progressing according to schedule and aligned with customer ETAs
• Assist in inventory reconciliation, stock monitoring, and reporting of discrepancies

Shipment Coordination

• Arrange local and international shipments and coordinate with freight forwarders, carriers, brokers, and suppliers
• Prepare and review shipping documents such as invoices, packing lists, bills of lading, airway bills, shipping manifests, and related logistics documentation
• Monitor shipment progress based on customer ETAs and proactively flag delayed, stalled, or missing shipments
• Ensure all shipment documentation is complete, accurate, and properly filed to avoid delays or operational issues

Documentation & Administrative Support

• Maintain organized records of logistics activities including Purchase Orders, shipment records, manifests, invoices, and operational reports
• Prepare logistics and fulfillment reports as required by management
• Ensure proper documentation and compliance with company operational procedures and logistics requirements

Customer Service & Communication

• Respond promptly and professionally to customer inquiries through chat, email, and e-commerce platforms regarding orders, deliveries, returns, replacements, and shipping concerns
• Coordinate with internal departments such as Sales, Warehouse, Purchasing, and Operations to ensure smooth order processing and fulfillment
• Liaise with external parties including suppliers, carriers, freight forwarders, and customers to maintain efficient operations and communication
• Provide timely updates to customers regarding shipment status, delays, or delivery concerns

Problem Solving

• Address and resolve logistics, shipment, fulfillment, and customer-related issues including delays, damaged goods, missing items, incorrect orders, and delivery discrepancies
• Escalate operational concerns when necessary and recommend solutions to improve workflow efficiency and customer satisfaction
• Proactively identify process improvements to optimize logistics and fulfillment operations

Qualifications:

• Graduate of Bachelors Degree in Operations Management, Customs Administration, Logistics, Business Administration, Supply Chain Management, or related course
• Minimum of 2 years working experience in logistics, supply chain, fulfillment, e-commerce operations, or related field Proficient in logistics software and Microsoft Office applications including Microsoft Excel, Outlook, VLOOKUP, and MS Word
• Familiarity with e-commerce platforms such as Shopee, Lazada, TikTok Shop, Shopify, or similar platforms is an advantage
• Strong analytical, organizational, and problem-solving skills
• Excellent communication and interpersonal abilities
• Detail-oriented, proactive, and capable of handling multiple tasks in a fast-paced environment
• Able to work independently while maintaining accuracy and efficiency in daily operations
