Documentation and Shipment Coordination

Ensures timely checking of shipping documents for import and export and confirms accuracy or detects errors to clients or agents on the assigned account.

Responsible in ensuring that shipping documents are timely endorsed to customs brokers for import and export customs releasing.

Coordinates with Gen Transport or Field Operations as to truck booking, scheduling and BOC clearances.

Ensures that payments to shipping lines are timely and accurately done.

Notifies nominated broker in case there are advances needed for warehouse, port, and airport charges beyond the external brokers threshold.

Coordinates and collates necessary documents needed in the application of various tax and duty incentives, import and export permit with customer and nominated broker.

Handles domestic sea and airfreight bookings with airline and shipping lines

Ensures timely issuance of billings as per agreed timeline and SOP including submission of the necessary documents to trigger issuance of invoices.

Responsible in the timely payment of container deposit and endorsement of receipts to the Finance Container Deposit Specialist for refund.

Compliance to KPI and FLS Operating System

Proper and on time filing of Cash Advance, AP Invoice, RFP, Liquidation and the immediate releasing of cargo from Customs

Must be up-to-date on regulatory changes and adapt appropriately.

Submits reports to client daily.

Provides justifications and reconciles of Unbilled JFs, partially billed JFs including Work in Progress accruals in FLS Operating System or any pending related to assigned accounts

Responsible in the timely and accurate updating of milestone events in FLS Operating System relating to Air and Sea Import, Air and Sea Export shipments.

Monitors unbilled and partially jobfiles and ensures that it is closed within a reasonable timeframe.

Attends to dispute resolution of billings whenever necessary.

Responsible in providing justification of unmatched costs once receipt of documents from Finance if needed for accounts he handled.
