Description

The Office Associate is the operational support engine of JRT PHL, providing day-to-day administrative, fulfillment, compliance filing support, and basic creative production assistance across both business units. This role works closely under the supervision of the Operations Manager and ensures that routine tasks are completed accurately and on time. In the area of research, the Office Associate supports the Operations Manager by conducting desk-based market and pricing research gathering online data, monitoring competitor platforms, and compiling findings for the manager's review and synthesis.


KEY RESPONSIBILITIES


A. Order Fulfillment

     Process and monitor customer orders across all sales channels walk-in, delivery apps, e-commerce, and B2B

     Coordinate with logistics providers and couriers for timely dispatch and delivery

     Track order status, manage delivery exceptions, and communicate updates to the Sales Officer and customers as needed

     Maintain accurate order records and fulfillment logs

B. Document Preparation & Compliance Filing Support

     Prepare, encode, and file all administrative documents including HR forms, regulatory submissions, and correspondence

     Assist the Operations Manager in preparing government compliance documents, permit applications, and renewal submissions

     Maintain an organized physical and digital filing system for all company documents

     Monitor document expiry dates (permits, registrations, certifications) and flag upcoming renewals to the Operations Manager

     Assist in preparing supporting documents for FDA, IPOPhil, BOC, and other regulatory filings as directed

C. Basic Design Production

     Produce basic design materials using Canva or similar tools social media posts, e-commerce product listings, promotional graphics, and simple brand collateral

     Follow brand guidelines and creative briefs provided by the Operations Manager

     Submit all design outputs for review and approval by the Operations Manager before publication or use

     Maintain an organized library of digital assets, templates, and brand materials

D. E-Commerce & Digital Content Support

     Assist in the set-up and day-to-day maintenance of e-commerce product listings across platforms

     Upload product content, photos, descriptions, and pricing as directed by the Operations Manager

     Monitor online store inventory levels and flag discrepancies

     Respond to basic customer inquiries on digital channels or escalate as appropriate

E. Market Research & Pricing Research Support (Desk)

     Conduct desk-based market research as directed by the Operations Manager online competitor lookups, industry news, product benchmarking, and channel analysis

     Monitor competitor pricing on e-commerce platforms (Shopee, Lazada, and similar) and compile findings into regular price monitoring reports for the Operations Manager

     Research regulatory requirements, government fee schedules, and supplier options as assigned

     Compile and organize research findings into clean summaries, tables, or trackers for the Operations Manager's review

     Participate in the standing market and pricing research agenda during weekly coordination meetings, presenting desk research findings

     Support the Operations Manager in maintaining a market intelligence file covering competitor products, pricing trends, and channel developments

F. General Administrative Support

     Provide general administrative support to the Operations Manager including scheduling, correspondence, and errand coordination

     Assist in preparing reports, trackers, and monitoring dashboards for the manager's review

     Conduct additional research or administrative tasks as assigned


QUALIFICATIONS

     Bachelor's degree in Business Administration, Office Management, Communications, or any related field

     At least 1 to 2 years of work experience in an administrative, operations support, or similar role

     Fresh graduates with strong organizational skills and a proactive attitude are encouraged to apply

     Proficiency in MS Office (Word, Excel, PowerPoint) is required

     Working knowledge of Canva or similar basic design tools is required

     Familiarity with e-commerce platforms (Shopee, Lazada, or similar) is a strong advantage

     Comfortable conducting online research and compiling data into organized summaries

     Detail-oriented, reliable, and able to manage multiple tasks with minimal supervision

     Good written and verbal communication skills in Filipino and English
