Inventory and Purchasing Administrator, Quezon City

You will be responsible for the "pulse" of our physical and digital stock. Your primary goal is to ensure that what we have in stock levels is perfectly reflected on our e-commerce platforms, and that our production and procurement cycles never miss a beat.

Key Responsibilities

• Inventory Management: Update daily inventory records and ensure 100% accuracy between physical stock, internal systems, and e-commerce platforms (Shopee, Lazada, TikTok Shop, or other channels). Make sure items are properly checked, packed and labeled.
• Purchasing & Procurement: Monitor stock levels and proactively initiate reorders. Create and manage Job Orders (JOs) for production or custom requirements.
• Data Entry & Encoding: Accurately encode receipts, invoices, and purchase records into our tracking system to maintain up-to-date financial data.
• Supplier Coordination: Serve as the main point of contact for suppliers and vendors; follow up on lead times, negotiate deliveries, and manage quality control concerns.
• Workflow Integration: Input all new purchases into the system and coordinate with the logistics to verify incoming deliveries and production.

Qualifications

• Experience: 12 years of experience in inventory control, purchasing, or e-commerce operations.
• Technical Skills:
• Strong proficiency in Excel or Google Sheets (basic formulas).
• Experience with e-commerce seller centers and inventory management software is a major advantage.
• Core Competencies:
• Exceptional attention to detail (zero-error mindset for numbers).
• Strong organizational skills and the ability to multitask under deadlines.
• Solid communication skills for vendor negotiation and internal reporting.
