Description

An Accounting & Finance Officer is responsible for reviewing the

finance documents to ensure compliance with accounting policies, internal

controls, and approval authority including recording of daily financial

transactions in accounting systems, maintain accurate financial records and

accounting entries, ensure proper documentation and filing of accounting and

finance documents.

 


1) Accounting Operations

  • Record daily accounting transactions (Accounts Payable, Accounts Receivable, Expenses, Revenues, Assets etc.)
  • Issue invoice to the customers and record the revenue e.g.: Accounts Receivable (AR) and Output Tax and attach the supporting documents.
  • Purchase of goods or services and record the expense/fixed asset e.g.: Accounts Payable (AP) and Input Tax and attach the supporting documents.
  • Prepare & review AR - Aging report of customers.
  • Cost recording of each product and/or services.
  • Ensure proper filing of finance documentation for accounting records.


2) Finance Operations

  • Prepare payments (cheques, bank transfers), verify outstanding account payables (AP) and supporting documents and pay or transfer to the supplier.
  • Coordinate with banks, suppliers, and customers regarding payments and collections
  • Follow up outstanding account receivables (AR) and collection.
  • Prepare cash-in and cash-out flow.


3) Budgeting, Cash flow and Cost Control

  • Assist in budget preparation and planning and monitor the actual spending in expenses, capital expenditure (CAPEX) and investment.
  • Prepare the actual cash flow and forecast.
  • Calculate the cost by each product and/or service.


4) Reconciliation

  • Reconcile revenue with Sale record by monthly, quarterly, and yearly.
  • Perform regular bank reconciliations and investigate and resolve discrepancies in financial records.
  • Check and ensure accurate account details.


5) Tax and Compliance

  • Prepare tax and statutory reports and submission to the related government agencies.
  • Support internal & external auditors and provide required documentation when needed.
  • Ensure compliance with accounting policies, accounting standards, and regulations.


6) Financial Reporting

  • Prepare financial statement reporting monthly, quarterly, and yearly and analysis.
  • Prepare costing planning & actual cost report and compare with bill of materials (BOM).

Prepare supporting document for reporting to monthly ExCom meeting and Board meeting as assigned.


7) Payroll Processing

  • Prepare and process employee payroll accurately and on time.
  • Compute salaries, deductions, benefits, overtime, and other payroll-related adjustments.
  • Ensure compliance with statutory requirements related to payroll (e.g., government contributions and taxes).
  • Maintain accurate payroll records and support documentation.
  • Coordinate with HR and management for payroll-related concerns.


7) Other assigned by Supervisor


Qualifications and requirements:

  • Minimum 2 years Accounting and Finance experience
  • Hands-on experience in bookkeeping and full set of accounts
  • Proficient in Microsoft Office and accounting software (e.g. QuickBooks, XERO, MYOB, or similar). Familiarity with
  • QuickBooks is preferred.
  • strong team player with the ability to work under pressure.
  • Detail-oriented, organized, and dependable
  • Able to work independently with minimal supervision
  • Possesses good communication skills and is able to maintain effective coordination with various departments.
