JOB SUMMARY:

             The executive Assistant to the General Manager provides high-level administrative support, acting as a liaison between the president, staff, and external partners. Key responsibilities include managing complex calendars, arranging travel, preparing confidential briefings/documents, and handling correspondence. The role requires exceptional organizational, communication, and problem-solving skills. 


DUTIES AND RESPONSIBILITIES:

1. Calendar & Travel Management: Proactively managing the General Managers schedule, booking flights, and arranging logistics for meetings and conferences.

2. Email Management: Managing complex schedules, prioritizing meetings, and screening/answering emails

3. Communication Liaisont: Acting as the primary point of contact, handling emails, phone calls, and drafting correspondence on behalf of the General Manager.

4. Admin & Document Preparation: Creating, formatting, and proofreading presentations, reports, and meeting agendas. Assist in the administration of the Office of the General Manger, including scheduling meetings, filing legal documents and signing all the necessary documents required by the Office of the General Manager.

5. Confidentiality & Discretion: Handling sensitive company, financial, and personnel information with high confidentiality.

6. Meeting Support: Organizing board or executive meetings, taking minutes, and tracking action items.

7. Special Projects: Conducting research and managing special assignments to support strategic initiatives.

8. Support to other Departments: Provides additional support to the other department as required; Other office duties and personal matter as or when assigned by the principal.

Back Up: Serves as back up to the Executive Assistant of the General Manager whenever he is here or not in Manila.

1. Team Leadership & Management: Creates an environment oriented to trust, open communication, creative thinking and cohesive team effort; coaches, counsels and mentors employees, and manages individual and team performance to bring about expected results.

2. Other tasks that may be requires by the General Manager and/or Management.

3. Organize and implement the General Managers administrative policies, rules and regulations both internal and external functions.

RELATIONSHIP MANAGEMENT (INTERNAL AND EXTERNAL)

4. Build and maintain harmonious relationships across all levels and with our business partners.

DATA INTEGRITY AND MANAGEMENT

Ensures all administrative and employee records and archives are monitored to maintain data integrity.
