Job Title: Purchasing Assistant (Construction)
Role Overview


A Purchasing Assistant supports the procurement team by sourcing, ordering, and tracking construction materials, tools, and services. The role ensures that projects have the right supplies on time, within budget, and according to specifications.


Key Responsibilities


1. Procurement Support
  • Assist in sourcing construction materials (cement, steel, equipment, etc.)
  • Request and compare quotations from suppliers
  • Prepare purchase orders and submit for approval
2. Supplier Coordination
  • Communicate with vendors regarding prices, availability, and delivery schedules
  • Maintain good relationships with suppliers
  • Follow up on orders and resolve delivery issues
3. Order Tracking & Delivery
  • Monitor purchase orders to ensure timely delivery to construction sites
  • Coordinate with warehouse/site staff for receiving materials
  • Track backorders or delays and report issues
4. Documentation & Record Keeping
  • Maintain accurate records of purchases, invoices, and contracts
  • Update procurement logs and databases
  • Ensure proper filing for audits and reporting
5. Inventory Support
  • Assist in monitoring stock levels of materials and supplies
  • Help prevent shortages or overstocking
  • Coordinate with site engineers or warehouse personnel
6. Cost Control
  • Help compare prices and identify cost-effective suppliers
  • Support budget monitoring for materials and procurement
  • Report discrepancies in pricing or billing


Required Skills & Qualifications


  • Bachelors degree in Business Administration, Supply Chain, Engineering, or related field (sometimes not required for entry-level)
  • Basic knowledge of construction materials and procurement processes
  • Strong organizational and multitasking skills
  • Good communication and negotiation abilities
  • Proficiency in Microsoft Excel and purchasing systems


Preferred Experience
  • Experience in construction, logistics, or purchasing is an advantage
  • Familiarity with local suppliers and construction materials


Work Environment
  • Office-based with occasional visits to construction sites or suppliers
  • Works closely with engineers, project managers, and warehouse staff
