We are looking for a reliable and detail-oriented Admin Support / Office Administrator to manage the day-to-day administrative and office management needs of our accounting firm. This role ensures that the office runs smoothly, professionally, and efficiently while working closely with the Accounts Payable Officer and Billing & Collection team.
The ideal candidate is highly organized, proactive, and has a strong sense of order, cleanliness, and coordinationsomeone who takes pride in maintaining a productive and professional workplace.
KEY RESPONSIBILITIES
A. Office Administration & Management
- Oversee daily office operations to ensure efficiency, cleanliness, and orderliness
- Manage office supplies, equipment, and inventory; ensure timely replenishment
- Coordinate office maintenance, repairs, and improvements with service providers
- Schedule and monitor cleaning services and office upkeep
- Assist in conceptualizing and maintaining the professional look and layout of the office
B. Administrative & Coordination Support
- Provide administrative support to departments (scheduling, documentation, coordination)
- Assist in organizing meetings, internal events, and office activities
- Maintain proper filing and documentation of administrative records
- Ensure adherence to office policies, procedures, and standards
C. Collaboration with Finance-Related Functions
- Coordinate with the Accounts Payable Officer on:
- Vendor documentation
- Office-related purchase requests
- Administrative expense support (non-approval role)
- Coordinate with Billing & Collection for:
- Administrative follow-ups
- Client-related documentation support
- Internal coordination needs
- Manage office supplies, equipment, and inventory; ensure timely replenishment
- Coordinate office maintenance, repairs, and improvements with service providers
- Schedule and monitor cleaning services and office upkeep
- Assist in conceptualizing and maintaining the professional look and layout of the office
D. Compliance & Risk Support
- Ensure office operations comply with internal policies and administrative controls
- Support audit-readiness by maintaining organized administrative records
- Report operational risks, facility issues, or administrative gaps to management
Education
- Bachelors degree in Business Administration, Office Management, or related field preferred
Experience
- At least 12 years experience in administrative or office support roles
- Experience in a professional services firm (accounting, legal, consulting) is an advantage
Skills & Competencies
- Strong organizational and time management skills
- High attention to detail and cleanliness standards
- Effective communication and coordination skills
- Proficient in MS Office / Google Workspace
- Ability to work independently and collaboratively
