The Talent Acquisition Coordinator will support U.S.-based onboarding operations, with a primary focus on I-9 record initiation, validation, and cleanup activities. This role requires strong attention to detail, excellent communication skills, and prior experience in administrative or onboarding processes, preferably supporting U.S. employees.
- Execute end-to-end I-9 record cleanup processes in compliance with U.S. regulations.
- Initiate new I-9 records for newly hired employees.
- Monitor I-9 completion status and ensure all required steps are completed within defined timelines.
- Track outstanding I-9 cases and proactively chase employees and stakeholders for missing or incomplete information.
- Maintain accurate records and status updates in internal tracking systems.
- Review and validate I-9 Section 1 for completeness and accuracy.
- Identify errors or inconsistencies and coordinate corrections with employees.
- Coordinate and schedule I-9 Section 2 completion with authorized representatives.
- Ensure timely appointments and proper documentation handling.
- Review and validate Section 2 documents to confirm identity and employment eligibility.
- Ensure documents meet U.S. compliance standards and are correctly recorded in the system.
- Communicate clearly and professionally with U.S.-based employees, hiring managers, and internal teams.
- Respond to queries related to onboarding and I-9 compliance in a timely manner.
- Escalate complex or non-compliant cases to appropriate stakeholders.
- 13 years of experience in:
- Administrative support
- HR onboarding
- Talent acquisition coordination
- Experience supporting U.S. onboarding or HR processes is highly preferred.
- Strong understanding of structured processes and compliance-driven tasks.
- Excellent communication skills (verbal and written)
- High level of English proficiency in:
- Listening
- Speaking
- Reading
- Writing
- Strong attention to detail and accuracy.
- Ability to work independently during night shifts.
- Comfortable working in a fast-paced, deadline-driven environment.
- Proficient in using HR systems, trackers, and standard office tools.
- Prior exposure to I-9 compliance or U.S. employment documentation.
- Ability to handle confidential information with discretion.
- Strong organizational and follow-up skills.
