Procurement & Inventory Controller, Quezon City

Position Overview

• Legally binding custodian of all warehouse stocks, tools, equipment, consumables, and assets (across company & sister companies).
• Responsible for safekeeping, documentation, policy enforcement, safety, training, and system improvements.
• Full accountability for shortages, undocumented transfers, negligence, or breaches.

Key Responsibilities

• Control all stock movements; release only with proper authorization and documentation.
• Oversee printing, construction, automotive, office, household, and management-use items.
• Keep facilities clean, organized, safe, pest-free, and audit-ready.
• Maintain ERP/Excel records; submit daily, weekly, and monthly reports; enforce end-of-day checklist.
• Implement SOPs for tagging, labeling, barcoding, disposal; require dual-signatures for sensitive items.
• Maintain clear segregation, warehouse map, and efficient zoning.
• Conduct staff orientations, quarterly refreshers, and enforce discipline.
• Ensure fire safety, PPEs, pest control, and emergency preparedness.
• Manage obsolete/damaged stocks; maintain photo-documented archives with timestamp rule.
• Serve all sister companies fairly and without delay.
• Protect all warehouse data; no unauthorized sharing of information.
• Assist in loading/unloading, preventive maintenance, and urgent project needs.
• Propose at least one improvement or innovation per month.

Workflows

• Daily: Inspections, tagging, ERP/log updates, item releases, cleanliness.
• Weekly: Reconciliation, variance reports, stock checks, safety equipment testing.
• Monthly: Full audit, reports with photos, innovation proposal, review slow-moving stocks.
• Quarterly: Policy updates, training refreshers, KPI review.

KPIs

• 100% audit compliance & accurate records.
• Zero stock-outs, pilferage, or wastage.
• Timely reports (daily/weekly/monthly).
• Warehouse always clean, organized, and safe.
• One improvement submitted per month.
• Positive ratings in honesty, accountability, and malasakit.

Authority & Compliance

• Sole authority to release, approve, or dispose items.
• Must enforce checklists, photo/timestamp rule, dual signatures, and spot audit readiness.
• Responsible for warehouse access control, CCTV monitoring, and key security.
