What You'll Be Doing

  • Coordinate initial, annual, special, and reinspection appointments with housing authorities and inspectors. Communicate inspection dates, access requirements, and preparation expectations to residents, property managers, maintenance teams, and vendors.
  • Track inspection statuses, outcomes, abatements, deadlines, and compliance milestones within company systems.
  • Ensure units are inspection-ready by coordinating repairs, maintenance activities, and required documentation.
  • Follow up on failed inspections and schedule reinspection within required program timeframes.
  • Maintain accurate records of inspection notices, reports, correspondence, pass/fail documentation, and compliance records.
  • Serve as the primary point of contact for housing authority inspection departments.
  • Monitor housing authority portals and communications for inspection updates, notices, and regulatory changes.
  • Assist in resolving inspection disputes, deficiencies, and compliance concerns.
  • Coordinate with maintenance and field teams to prioritize repairs related to failed inspections or Housing Quality Standards (HQS) deficiencies.
  • Generate operational reports related to inspection performance, pass/fail rates, abatement risk, and scheduling efficiency.
  • Support occupancy and revenue goals by minimizing delays related to inspection scheduling and compliance issues.
  • Ensure compliance with HUD regulations, Housing Quality Standards (HQS), company policies, and applicable local housing authority requirements.


Performance Metrics (KPIs)

  1. Days in Coordination: The number of days, on average, your assigned cards have been in a coordination phase
  2. Outlier Management: On average, the number of HQS cards that were in coordination phase over 14 days.
  3. Successful Inspections: % of times where we requested a field rep to attend the inspection and the field rep successfully met the inspector at the home.


Experience

  • Prior experience in customer service, hospitality, property management, or a related field is preferred.
  • Prior experience with Salesforce or Pipefy a plus


Qualifications

  • Excellent communication skills, both written and spoken.
  • Highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment.
  • Strong negotiation ability, self-motivated and adaptable to dynamic environments, with the ability to manage multiple priorities simultaneously.
