Description

Provides administrative, logistical, and clerical support to DPCB activities.


DUTIES AND RESPONSIBILITIES:

1. Serves as the primary administrative focal person for the National Tuberculosis Control Program (NTP), providing end-to- end support for all NTP-related documentation and coordination. This includes direct coordination with the NTP Manager and Division Chief, facilitation of documents for review and signature, and close monitoring of approval processes involving multiple reviewers and concerned offices within the DOH;

2. Provides administrative support to the DSM team including preparation, coordination, monitoring and follow-up of procurement-related documents and transactions with procurement services and other DOH concerned offices;

3. Draft correspondence and response memoranda related to administrative matters, ensuring clarity, completeness following DOH formats and protocols;

4. Provides administrative support to NTP, assisting in documentation, coordination, and other related tasks as required.;

5. Coordinates and liaises with multiple offices and stakeholders, serving as the sole administrative point person seconded to the DOH, which requires heightened responsibility in managing communications, follow-ups, and alignment of concerns to ensure continuity of operations and timely completion of tasks;

6. Provides administrative and logistical support to driver, including preparation of trip and ticket reports, scheduling, and dispatching of official travel arrangements for DOH and project staff;

7. Provides administrative support for meetings, including logistics, documentation, and liquidation, and manages the inventory of office supplies and equipment to ensure availability when needed;

8. Coordinates with different DOH Offices in the dissemination of information;

9. Performs other tasks that may be assigned from time to time by the immediate supervisor and/or management;


MINIMUM QUALIFICATION GUIDELINES:

Education : Bachelors degree in any business- related or office management program

Experience : At least with 1 year experience in customer relations, general office administration and logistical assistance to project/program operations

Other / Special Skills : Computer literate, good interpersonal relations, good communication skills in English (both verbal and written), records management skills; intermediate level skills with computer applications (e.g. Microsoft Office, Google Suite, etc.)
