Role Overview


The Regulatory & Compliance Associate (JG 3) is responsible for supporting the regulatory and compliance functions of the organization. This role ensures that all import/export documentation and transactions adhere to applicable laws and agency requirements. You will be tasked with tracking permit applications, monitoring regulatory deadlines, and maintaining comprehensive compliance records while coordinating with internal departments and government bodies.


Key Responsibilities (KRAs)

1. Documentation & Records Management (30%)

  • Prepare and organize all documents required for permit applications and renewals.
  • Maintain a structured filing system for all compliance-related documentation.
  • Ensure accurate encoding and updates of records on various regulatory portals.
  • Proactively track deadlines for permit expirations and compliance submissions.

2. Permit Application Support (25%)

  • Assist in the submission of applications to agencies including the BOC, FDA, BIR, DA, NTC, PEZA, BOI, and DTI.
  • Collaborate with internal teams to gather necessary documentation for filings.
  • Follow up with regulatory bodies and portals regarding pending applications.

3. Monitoring & Reporting (20%)

  • Track the real-time status of import/export permits and regulatory applications.
  • Provide regular status reports and deadline updates to the Supervisor.
  • Compile data for compliance reports and internal/external audits.

4. Internal & External Coordination (15%)

  • Liaise with government offices and regulatory agencies.
  • Partner with the Import, Brokerage, and Operations teams to support compliance needs.
  • Respond to compliance-related inquiries from internal stakeholders.

5. Audit & Training Support (10%)

  • Organize documents for inspections and audits.
  • Support the Supervisor during regulatory visits or third-party inspections.
  • Assist with logistics and documentation for internal compliance training.


Job Requirements
  • Education: Bachelors Degree in Customs Administration (Preferred), Business Administration, Law, or a related field.
  • Experience: At least 1 year of experience in regulatory documentation or trade compliance support.
  • License: Not required, but being a Licensed Customs Broker is a significant advantage.
  • Technical Knowledge: Familiarity with CMTA, BOC regulations, and trade compliance frameworks.
  • Proficiency in systems such as E2M, VASP, and various regulatory portals (FDA, DA, BIR, etc.).
  • Skills: Documentation, auditing, process mapping, and detail-oriented analytical thinking.


Working Conditions

  • Location: Escolta Office.
  • Environment: Office-based with occasional visits to regulatory agencies for coordination.
  • Schedule: Standard hours, though extended hours may be required during audit periods or urgent filing deadlines.
