Job Summary

The Personal Assistant to the President provides high-level administrative and organizational support to the President to ensure efficient daily operations. This role manages schedules, coordinates meetings, handles confidential information, and facilitates communication between the President and internal or external stakeholders.


Key Responsibilities

1. Executive Support

  • Manage and maintain the Presidents calendar, appointments, and travel arrangements.
  • Prepare briefing materials, reports, presentations, and correspondence.
  • Screen and prioritize incoming emails, calls, and documents.

2. Meeting Coordination

  • Schedule and organize executive meetings, board meetings, and conferences.
  • Prepare agendas, meeting minutes, and follow-up action items.
  • Ensure the President is well-prepared for meetings and presentations.

3. Communication Management

  • Act as a liaison between the President and employees, clients, partners, and stakeholders.
  • Draft professional emails, letters, and announcements on behalf of the President.
  • Maintain clear and professional communication channels.

4. Administrative Management

  • Organize and maintain confidential files, documents, and records.
  • Track deadlines, projects, and executive priorities.
  • Assist with special projects and executive initiatives.

5. Travel and Event Planning

  • Arrange business travel, accommodations, and itineraries.
  • Coordinate corporate events, executive meetings, and VIP visits.

6. Confidentiality and Discretion

  • Handle sensitive information with the highest level of confidentiality.
  • Maintain professionalism when dealing with high-profile stakeholders.


Qualifications

  • Bachelors degree in Business Administration, Management, Communications, or related field.
  • 35+ years experience as an Executive Assistant or Personal Assistant to senior executives.
  • Excellent organizational, communication, and time-management skills.
  • Strong proficiency in Microsoft Office / Google Workspace.
  • Ability to multitask, prioritize, and work under pressure.
