Accounts Payable Specialist Invoice Processing & Vendor Coordination

Job Description:

We are seeking a detail-oriented Accounts Payable Specialist to handle end-to-end accounts payable functions, including invoice processing, vendor communication, and payment execution. This role ensures accuracy, timeliness, and compliance with internal control processes while working closely with operational teams.

Key Responsibilities:

• Communicate with vendors regarding missing invoices and payment status
• Load invoices into the system using Document Capture
• Search internal operational systems for invoice-related information
• Perform three-way matching for Accounts Payable invoices
• Communicate effectively with operational staff to resolve invoice discrepancies
• Accurately code invoices and follow up as required
• Set up and process payment batches
• Ensure compliance with internal control processes for all payable functions
• Ensure all Accounts Payable approvals are properly coded and processed in a timely manner
• Reconcile Accounts Payable statements
• Process weekly cheque runs
• Perform additional duties as assigned

Qualifications & Requirements:

• Previous experience in Accounts Payable or a similar finance role
• Strong knowledge of invoice processing and three-way matching
• Experience communicating with vendors regarding invoices and payment status
• Familiarity with document capture systems and internal operational platforms
• High attention to detail and accuracy in invoice coding and reconciliations
• Ability to follow structured approval workflows and internal controls
• Strong organizational and time-management skills
• Clear written and verbal communication skills
• Ability to work independently and collaboratively with cross-functional teams
