Site Admin Manager


Position Summary


The Site Admin Manager oversees and coordinates all administrative functions at one or more operational sites. This

role combines general administrative leadership with site-specific tasks,

ensuring efficient site operations, accurate record-keeping, strong stakeholder

communication, compliance with policies, and support to both site and corporate

leadership.


Key Responsibilities

Site & Administrative Management

  1. Lead and manage all site administrative operations, ensuring smooth day-to-day functioning.
  2. Supervise and mentor administrative staff, assign duties, and monitor performance.
  3. Maintain and organize site records, reports, schedules, and correspondence.
  4. Coordinate meetings, travel arrangements, and communication with internal teams, contractors, and external stakeholders.

Documentation & Reporting

  1. Ensure accurate documentation of site activities, timesheets, progress reports, and daily operations.
  2. Prepare regular reports for senior management on administrative performance, issues, and key metrics.

Policy, Compliance & Safety

  1. Implement and enforce administrative policies, site procedures, and compliance with safety regulations.
  2. Conduct periodic safety checks and audits in coordination with site teams.

Resource & Budget Management

  1. Monitor site office supplies, order resources, and manage petty cash or site expenses.
  2. Assist in budgeting, forecasting needs, and cost control for administrative functions.

Support to Management

  1. Act as the primary administrative point of contact for project managers or site leaders.
  2. Support project planning, onboarding of personnel, or coordination with other departments.


Qualifications

Education & Experience

  • Bachelors degree in Business Administration, Management, Office Administration,
  • Construction Management, or related field (preferred).
  • 3+ years of experience in administrative roles, ideally with supervisory responsibility.
  • Experience in a mining, construction, engineering, or multi-site operations setting is an advantage.

Skills & Competencies

  • Strong organizational, planning, and multitasking skills.
  • Excellent written and verbal communication.
  • Leadership and team coordination capabilities.
  • Proficiency in Microsoft Office and administrative software.
  • Ability to work independently, prioritize tasks, and manage deadlines.
