Description

Job Summary:

The Admin Clerk assists the Corporate Secretary in handling administrative, clerical, and coordination functions related to corporate records, meetings, communications, and office documentation. The position ensures organized filing systems, timely preparation of reports and correspondence, and efficient support for Board of Directors activities and corporate governance requirements.


Duties and Responsibilities:

  • Assist the Corporate Secretary in daily administrative and clerical tasks.
  • Prepare, organize, and maintain corporate files, records, and confidential documents.
  • Draft letters, memoranda, meeting notices, and other correspondence as instructed.
  • Schedule meetings, appointments, and coordinate Board or committee activities.
  • Prepare meeting materials, attendance sheets, and assist during meetings.
  • Record and transcribe meeting minutes when required.
  • Maintain proper filing and monitoring of contracts, resolutions, permits, and legal documents.
  • Receive and route incoming communications, emails, and telephone inquiries.
  • Monitor office supplies and prepare requests for replenishment.
  • Ensure confidentiality of sensitive corporate and administrative information.
  • Perform other related duties assigned by the Corporate Secretary or management.


Qualifications:

  • Graduate of Business Administration, Office Administration, Management, or any related course.
  • Preferably with experience in clerical, secretarial, or administrative work.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Good written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to handle confidential information with professionalism.
  • Detail-oriented, dependable, and able to work with minimal supervision.
