Description

The Document Assistant is responsible for providing administrative and documentation support to the project and implementation teams. The role ensures that all project documents, reports, permits, correspondences, and files are properly collected, organized, stored, and

submitted accurately and on time. The Document Assistant plays a key role in maintaining data integrity, supporting project deliverables, and ensuring compliance with company and client standards within the telecommunications industry.


DUTIES & RESPONSIBILITIES

  • Prepare, organize, and manage project-related documents including reports, permits, scope of work, site records, photos, inventory, and completion documents
  • Maintain an accurate and up-to-date documentation filing system (softcopy and hardcopy)
  • Assist in preparing presentations, trackers, spreadsheets, and documentation templates
  • Coordinate and follow up with site engineers, contractors, suppliers, and other departments for document submissions and updates       
  • Encode, update, and monitor trackers such as project status, material inventory, progress reports, and quality inspection results
  • Ensure documents are complete, properly labeled, and submitted on time based on project or client requirements
  • Conduct regular checking, scanning, file naming, and archiving of project files in shared drives or designated systems
  • Assist in logistical and administrative support tasks for the project department
  • Support documentation for audits and project turnover


QUALIFICATIONS

  •  Bachelors Degree in Business Administration, Office Administration, Information Technology, Engineering, or any related field
  • Fresh graduate or with at least 1-year related work experience in documentation, admin, or telco support role (preferred but not required)
  • Proficient in Microsoft Office (Word,Excel, PowerPoint)
  • Knowledge in document control, project documentation, or telco industry is an advantage
  • Strong attention to detail, organization, and time management skills
  • Good communication skills (verbal and written)
  • Ability to work with minimal supervision and meet deadlines
  • Willing to coordinate with internal and external stakeholders
