Job Summary

The Administrative Assistant is responsible for providing clerical, administrative, and office support to ensure efficient day-to-day operations of the company. The role includes handling documentation, coordinating schedules, maintaining records, assisting with reports, and supporting internal and external communications.

The ideal candidate must be organized, detail-oriented, professional, and capable of handling multiple administrative tasks in a fast-paced work environment.


Key ResponsibilitiesAdministrative and Clerical Support
  • Prepare, organize, and maintain company files, records, and documents.
  • Perform data entry, filing, scanning, photocopying, and document tracking.
  • Assist in preparing reports, correspondence, presentations, and other office documents.
  • Monitor office supplies and coordinate replenishment when necessary.
  • Ensure proper organization and confidentiality of company records.
Coordination and Communication
  • Answer phone calls, emails, and inquiries in a professional manner.
  • Coordinate meetings, appointments, and schedules of supervisors or management.
  • Assist in communicating with clients, suppliers, and employees regarding administrative concerns.
  • Receive and route incoming documents, deliveries, and correspondence.
Operational Support
  • Assist various departments with administrative requirements and office coordination.
  • Support payroll, HR, accounting, or operations documentation when needed.
  • Monitor deadlines and ensure timely submission of reports and documents.
  • Perform other tasks that may be assigned by management from time to time.

Qualifications
  • Bachelors Degree in Business Administration, Office Administration, Management, or any related field.
  • With at least 1 year of experience in administrative or clerical work is preferred.
  • Fresh graduates are encouraged to apply.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Good communication and interpersonal skills.
  • Detail-oriented and able to work with minimal supervision.
  • Willing to be deployed in Mandaue City, Cebu.
