Admin Manager, Valenzuela

Key Responsibilities

1. Installer Coordination and schedule & Piece-Rate Management

Serve as the main point of contact for approximately 10-20 field installers.

Collect and verify completed job tickets/installation reports daily.

Calculate piece-rate wages based on number of installations completed.

Track installer attendance and field hours as needed.

2. Payroll & Timekeeping Support

Maintain attendance records for office staff.

Assist the Finance Supervisor in preparing monthly payroll for both office staff and installers.

Ensure accurate computation of statutory deductions (SSS, PhilHealth, Pag-IBIG, withholding tax).

Prepare payroll summary and coordinate timely disbursement.

3. Petty Cash Management

Manage the petty cash fund for small office/field expenses (e.g., transportation, supplies, emergency purchases).

Record all petty cash transactions and collect receipts.

Replenish petty cash and submit reports to the Finance Supervisor.

4. Recording of Cash Inflows & Outflows

Assist in recording daily cash receipts from retail, and wholesale channels.

Help verify that customer payments are received before order release (coordinate with sales/operations).

Record cash disbursements (supplier payments, reimbursements, etc.) in the accounting system or Excel.

Support bank reconciliation and basic bookkeeping tasks.

5. Administrative Support

Maintain organized files for invoices, receipts, job tickets, and employee records.

Assist with BIR, SSS, PhilHealth, Pag-IBIG reporting preparation.

Communicate with installers regarding schedules, pay queries, and document submissions.

Perform other tasks assigned by the Finance Supervisor.
