The Executive Assistant to the CEO provides comprehensive, high-level support to the Chief Executive Officer, acting as the primary point of contact and "gatekeeper" for all internal and external stakeholders. This role goes beyond traditional administrative tasks; it requires a strategic partner who can anticipate the CEO's needs, manage high-stakes communication, and ensure that the CEOs time is optimized for the strategic operations of the holdings company. The ideal candidate is a proactive problem-solver who can handle sensitive corporate information with absolute discretion.
Key Responsibilities
- Strategic Calendar & Travel Management: Proactively manage the CEOs complex schedule, prioritizing meetings and handling all travel logistics, including detailed itineraries, accommodations, and transportation.
- Executive Gatekeeping: Act as the first point of contact for the CEO, screening calls, greeting high-level visitors, and deciding which inquiries require the CEOs immediate attention.
- High-Level Reporting & Documentation: Prepare and format financial statements, sensitive reports, board memos, and invoices. Conduct deep-dive research and data analysis to prepare briefing documents for Board of Directors and Committee meetings.
- Meeting Coordination: Lead the preparation for all executive-level meetings, including agenda setting, material distribution, and recording accurate, high-impact minutes.
- Correspondence Management: Read, analyze, and distribute incoming memos, emails, and faxes. Draft professional responses on behalf of the CEO when appropriate.
- Financial & Corporate Records: Handle basic bookkeeping tasks and manage the retrieval/filing of critical corporate records, ensuring a highly organized database.
- Resource Management: Oversee specialized office duties, including managing supply inventory for the executive suite and coordinating with other departments (Finance, HR, Ops) to ensure the CEOs directives are followed.
Qualifications
- Education: Bachelor's degree in Accountancy, Business Administration, or a related field.
- Experience: At least 23 years of experience specifically supporting C-suite executives or in a high-level administrative support role within a corporate environment.
- Technical Proficiency: * Expert-level mastery of the entire MS Office Suite (Excel for reporting, PowerPoint for board decks).
- In-depth knowledge of Adobe and Canva for creating professional presentations and visual aids.
- Experience as a Virtual Assistant or with remote collaboration tools is an advantage.
- Strategic Skills: Proven ability to organize a massive daily workload by priority and meet strict deadlines in a fast-paced, quickly changing environment.
- Soft Skills: Professional-level verbal and written communication; a proactive approach to problem-solving with strong independent decision-making skills.
