BASIC FUNCTION:

Attends to visitors and handles inquiries through phone and face-to-face communication. Provides accurate information about the organization to clients, customers, and the general public while ensuring smooth front desk operations.

PRIMARY DUTIES AND RESPONSIBILITIES:

Answers, screens, and directs incoming telephone calls.

Takes and relays messages accurately and promptly.

Provides information to callers, clients, and visitors.

Greets and assists visitors entering the organization.

Directs visitors to the appropriate person or department.

Handles inquiries and concerns from the public and clients.

Monitors visitor access and maintains log records.

Ensures awareness of staff movements in and out of the organization.

Provides general administrative and clerical support.

Receives, sorts, and distributes mail, documents, and deliveries.

Schedules and manages appointments and maintains appointment records (manual or electronic).

Maintains reception area cleanliness, orderliness, and inventory of supplies.

Assists in booking travel arrangements such as flights when required.

Performs other related duties as may be assigned by the superior from time to time.
