IT Project Coordinator

Setup: Hybrid (2 months of 2x RTO per week; WFH in month 3)

Location: Gil Puyat, Makati

Contract Duration: 3-Month Contract


We are hiring a Project Coordinator to support project planning, documentation, and execution using AI tools. This role is suited for someone organized, detail-oriented, and comfortable working with structured processes and cross-functional teams.


Must be able to start ASAP!


Key Responsibilities


Project Planning and Breakdown

  • Assist in breaking down projects into clear, actionable steps
  • Use AI tools (e.g., ChatGPT) to support research, planning, and task structuring

Execution Support

  • Help track progress, organize tasks, and ensure timelines are followed
  • Support teams by maintaining clarity on next steps and deliverables

Risk and Issue Tracking

  • Identify potential risks or blockers and escalate them with guidance
  • Support in monitoring and documenting issues

Documentation and Process Support

  • Create and maintain SOPs, workflows, and checklists
  • Assist in developing basic process diagrams (flowcharts, swimlanes, RACI)

Research and Analysis

  • Conduct basic research to support project feasibility and planning

Stakeholder Coordination

  • Assist in coordinating across teams and tracking responsibilities

Continuous Improvement

  • Support the use of AI tools to improve workflows and reduce manual work


Qualifications

  • Basic to intermediate proficiency in AI tools such as ChatGPT or similar platforms
  • Strong attention to detail and organizational skills
  • Good written and verbal communication skills
  • Experience in process documentation, including SOPs, workflows, and operational checklists
  • Ability to create process diagrams (flowcharts, swimlane diagrams, RACI matrices) for clarity and alignment
  • Solid requirements gathering and clarification skills to translate business needs into actionable outputs
  • Strong research and feasibility assessment abilities to support decision-making
  • Basic problem-solving and analytical skills
  • Familiarity with Google Workspace or Microsoft Office
  • Comfortable working with trackers, spreadsheets, and reports

  • Agile/Scrum exposure, Lean Six Sigma, PMP/PMI fundamentals
